商务信函写作格式:

写作商务信函并不要求您使用华丽优美的词句。所有我们需要做的就是,用简单朴实的语言,准确的表达自己的意思,让对方可以非常清楚的了解您想说什么。围绕这一点,我们总结了几方面的内容,希望对您写作商务信函有借鉴作用。

1.口语化

每一封信函的往来,都是您跟收信人彼此之间的一次交流。人都是感性的,所以您需要在您的信函里体现感性的一面。然而很多人都有一种误解,以为写作商务信函就应该用一种特殊的“生意腔”,于是把一封本来应该是热情而友好的信函写得呆板而死气沉沉。他们宁愿写“Your letter has been received”,“Your complaint is being looked into”而不是“I have received your letter”或者“We are looking into your complaint”。其实我们简单的来理解一下,每次信函的往来不就是跟对方进行了一次交谈吗?只不过是把交谈的内容写到了纸上而已。多用一些简单明了的语句,用我/我们做主语,这样才能让我们的信函读起来热情,友好,就象两个朋友之间的谈话那样简单,自然,人性化。

想象一下,如果您由于无法准时交货而在电话上跟您的合作伙伴表示歉意时,您会怎么说?我想您会说“I am sorry we cannot deliver the goods today”。既然在电话中您会这样说,为什么在信件中要改成“It is regretted that goods cannot be delivered today”?放弃这种所谓的“生意腔”吧,让您的信也象谈话那样简单,自然,人性化。

2.语气语调

由于您写的信函都是有其目的性的,所以您信函里所采用的语气语调也应该符合您的目的。在写之前先不妨仔细考虑一下,您写这封信函是想达到一个什么样的目的,您希望对收信人产生一种怎样的影响呢?是歉意的,劝说性的,还是坚决的,要求性的。这完全可以通过信函中的语气语调来表现。

3.真诚

不管是生活中的交往还是生意上的合作,真诚是最重要也是最基础的,所以您的信函也必须能够充分体现您的真诚。不管说什么,都要带着您的诚意去说。把写好的信函拿起来读一遍,确保如果此时对方正在电话中与您通话,他一定能够感受到您的自然和真诚。

4.直接

就象前面提到的,要用简洁朴实的语言来写信函,让您的信函读起来简单,清楚,容易理解。用常见的'单词,避免生僻或者拼写复杂的单词。一个单词可以表达,就不要用词组。多用短句,因为短句更容易理解。少用“and”,“but”,“however”,“consequently”这些让句子变得冗长的连词。在同一封信函里,不要使用多个相同含义的单词。比如,您前面写了“goods have been sent”,那后面再提到这件事时就不要再用其他单词如“forward”“dispatch”等。因为这样写会误导您的读者无谓地去考虑这些词之间是否另有含义。

7.精确

8.针对性

11.标题

切忌主客不分或模糊。

句子不要零碎。

结构对称,令人容易理解。

例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings. 应改为: The owner questioned the occupant's lease intentions and ink alterations of the contract.

例如: An authorized person must show that they have security clearance. 应改为 Authorized persons must show that they have security clearance.

动词和主语要呼应。

时态和语气不要转换太多。

看商务英语已经是苦事,不要浪费人家的精力啊。

标点要准确。

选词正确。

像 affect和effect,operative和operational等 等就要弄清楚才好用啦。

拼字正确。

有电脑拼字检查功能后,就更加不能偷懒。

1. 商务文书写作的特点。提炼出商务文书以下的特点:

简明

正所谓“句中无余字,篇内无赘语”,“简明”是商务文书首要特点。

准确

而所谓“准确”,就是要求商务文书要做到“一字入公文,九牛拔不出”,不要像“关门闭户掩柴飞”这样的表达一样将同样一个意思重复三次。在意思清楚的前提下,商务文书写作应追求尽量用一段话、一句话甚至是一个词将核心意思表达出来。

朴实

所谓“朴实”,就是指在商务文书写作中不要去刻意地堆砌辞藻,一代文豪白居易尚且不这样做,我们就更不必在这个方面显示自己的实力和水平了。

庄重

所谓“庄重”,是指在商务文书中对整体风格的把握不要过于诙谐幽默,太多的玩笑会极大地影响文书的严肃性。

规范

商务文书写作在很多方面还具有规范性强的特点,其中标点符号的规范性就尤为重要,但是却往往被大家所忽视。

商务文书写作有以下四个要素:

主旨

所谓“主旨”,就是指商务文书的中心思想,即作者所要表达的意思。就是应该对方看到该商务文书后产生作者所希望的感受和行动。在主旨方面,应该遵循“正确、务实、集中、鲜明”的原则。

材料

好的商务文书不是一蹴而就,需要围绕作者的主旨来收集很多相关方面的素材。在材料方面,应该遵循“收集要多、选择要严、使用要巧”的原则。

结构

好的商务文书还应该具有良好的结构,否则会导致在不应该浪费笔墨的地方花费很多不必要的时间,而需要去强调的内容则被相应的弱化。在结构方面,可以选择“篇段合一式、分层表达式、分条列项式”等方式。

语言

1. 文体介绍

报盘(offer),也叫报价,是卖方主动向买方提供商品信息,或者是对询盘的答复,是卖方根据卖方的来信,向买方报盘,其内容可包括商品名称、规格、数量、包装条件、价格、付款方式和交货期限等。报盘有两种:

虚盘(non-firm offers), 即无约束力的报盘。一般情况下,多数报盘均为虚盘,虚盘不规定报盘的.有效日期,并且附有保留条件,如:The offer is subject to our final confirmation/prior sale. 该报盘已我方最后确认为准/是否事先售出为准。

实盘(firm offers)则规定有效日期,而且卖盘一旦被接受,报盘人就不能撤回。

2.句子不要零碎。

3.结构对称,令人容易理解。

例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings. 应改为: The owner questioned the occupant's lease intentions and ink alterations of the contract.

4.单复数不要搞乱,不然会好刺眼,看着不舒服。

例如: An authorized person must show that they have security clearance. 应改为 Authorized persons must show that they have security clearance.

5.动词和主语要呼应。

想想这两个句子的分别: 1. This is one of the public-relations functions that is under-budgeted. 2. This is one of the public-relations functions, which are under-budgeted.

6.时态和语气不要转换太多。

看商务英语已经是苦事,不要浪费人家的精力啊。

7.标点要准确。

例如: He did not make repairs, however, he continued to monitor the equipment. 应改为: He did not make repairs; however, he continued to monitor the equipment.

8.选词正确。

像 affect和effect,operative和operational等 等就要弄清楚才好用啦。

9.拼字正确。

有电脑拼字检查功能后,就更加不能偷懒。

10.大小写要注意。

除非 必要不要整个词都大写,除非要骂人。例如: MUST change to OS immediately. 外国人就觉得不礼貌和喝令人一样。要强调的话,用底线,斜字,粗体就可以了。

The two bar charts illustrate the changes in the wheat production and the average prices between 1990 and in a European country.

The first chart reveals that the decade saw a sharp increase in the production. In 1990 the European country output approximately 0.8 millions of tonnes. Till 2000 the figure peaked at about 2.4 million, a three time jump.

According to the second chart, the wheat prices dramatically surged from less than 1500 Pound Sterling per tonne in 1990 to almost 3000 in 1995. Nevertheless, in the following five years, the changes in prices were featured by decrease. By 2000, the prices had dropped to 2,200 pound sterling.

Obviously, the changes in the production were not the same as those in the prices during the ten years.

Bristol factories, with 600 employees in , generated the largest profits in each quarter during 2003. But the profits reduced from £12 million in the first quarter to about £8.2 million in the fourth.

London factories, by contrast, contributed the least in the whole year. Although the profits slightly climbed in the second quarter, they declined in the following periods. The highest profits in the second quarter reached £4.1 million.

The profits produced by the Leeds factories were relatively stable in that only in the third quarter did the profits dropped by one million pound sterling to the bottom of £7million . The other three quarters saw the same profits.

Noticeably, the number of employees in Leeds was 350, compared with 150 in London.

要求书信的“完整”, 理由有三:

1.一封完整的书信比一封不完整的书信,有更大的可能性带来预期的效果;

2.一封完整的`书信,有助于建立和表达友善关系;

3.一封完整的书信,可以避免由于遗漏重要情况(情报)所导致的诉讼(lawsuit);

(二)注意修饰词的位置,有时修饰词的位置不同,会导致不同的含意如:a) please let us know what you wish us to do about this matter as soon as possible; b) please let us know as soon as possible what you wish us to do about this matter. 以上两句中的”“修饰的内容不同:a) 你们要求我们尽快做些什么。b) 请尽快告诉我们。所以a) 可译成”请告你们要我们为此尽快做些什么“;? b) 可译为”请尽快告知,你们要我们为此事做些什么"。

(三)注意代名词,关系代词和先行词的关系按照英语习惯,句子中的代名词和关系代词一般是指离得最近的名词,因此要特别注意,以免引起误解或不清楚。例句:不好:they informed messrs.john & smith that they would receive an answer in a few days. 较好:they informed messrs. john & smith that latter would receive an answer in a few days.

(四)注意前后一致和紧凑,连贯不一致:being a certified public accountant, i am sure you can help us. 一致:being a certified public accountant, you can surely help us. or; as you are a certified public accountant, i am sure you can help us.
